TIP 1: BALANCING GOOD TIMING AND CONSULTATION FATIGUE

To prepare and to deliver future scenario workshops you need to set aside enough time. Our partners have delivered these workshops from one day sessions to five, morning or afternoon, sessions. Those who spent less time felt the workshops were too intense. However, you also need to be aware of consultation fatigue. It can help to promote the workshop by explaining what users will learn and to present it as an innovative tool for strategic planning.

TIP 2: DON'T GET LOST IN DETAILS OF THE PROCESS:

Participants need to relate to what is being talked about when you explain the process. It is helpful to use real, concrete examples and show them exactly what they need to do.

TIP 3: FACILITATION IS KEY

You need respected and trained facilitators who are familiar with the techniques you have chosen to use and who have the skills to mediate in potential conflicts. You also need enough qualified staff to keep the participative process running smoothly throughout each step. See more related tips regarding stakeholder engagement.

TIP 4: EXPLAIN THE BIG PICTURE

Participants want to know why they are at the workshop, what they are going to do and what will the results be used for. It can help to show a diagram with the entire process and how it will feed into the existing adaptation framework.

TIP 5: MAKE IT VISUAL

Visualization tools range from simple photocollages and free-access Google Sketch to sophisticated 3D simulation tools. You can choose what meets your needs, capacity and resources to show participants what these stories of the future will look and feel like. This makes it easier to grasp the concepts and become engaged.
